How to Order DAP Materials

Having the right materials on hand ensures you are prepared for presentations and events. Understanding the ordering process and chain of command helps you maintain adequate supplies while keeping your state organized.

The Ordering Process

For Lodge and District Chairs

Printed materials can be requested by lodge and district chairs through your State Chair:

  • Contact your State Chair with your material needs
  • Provide details on quantities and types of materials needed
  • Include your timeline and any upcoming events
  • Your State Chair will coordinate the order on your behalf

For State Chairs: Ordering Responsibility

State Chairs are responsible for placing all material orders for their state:

  • Log in to the national Elks website
  • Navigate to the DAP Order Form at: https://www.elks.org/dap/orderForm.cfm
  • Submit orders for your state based on requests received
  • Track order status and notify requesters when materials ship

State Chair Inventory Management

We recommend that State Chairs maintain a light inventory of resources:

  • Keep a small stock of commonly requested materials on hand
  • Proactively work to get all lodges updated materials
  • Stay on top of inventory levels and needs across your state
  • Anticipate needs before major events like Red Ribbon Week
  • Check in with Lodge and District Chairs quarterly about their supply levels

What to Order

Core Presentation Materials

  • What Heroes Do curriculum for target age groups
  • Activity books and worksheets
  • Teacher guides and support materials

Event and Promotion Materials

  • Red ribbons (especially before October)
  • Brochures for community events
  • Promotional items (pencils, stickers, etc.)

Planning Your Orders

Estimate Your Needs

  • Review last year activities and usage
  • Consider your planned schedule for the year
  • Add buffer for unexpected opportunities
  • Do not over-order—materials do get updated

Timing Your Orders

  • Order before back-to-school season (August)
  • Order Red Ribbon Week materials by September
  • Allow 2-4 weeks for delivery
  • Reorder when supplies run low, not when empty

Budget Considerations

Work with your lodge and state leadership on material budgets:

  • Include materials in your annual DAP budget request
  • Track expenses for reporting
  • Look for cost-sharing opportunities with other lodges
  • Some states provide materials at no cost to lodges
