Module 3: Running Reports

Generating Activity Reports

Creating Reports from CLMS Data

CLMS is not just for data entry—it is a powerful reporting tool. Reports help you track your progress, share results with your lodge, and meet reporting requirements from your District and State Chairs.

Types of Reports Available

Activity Summary

Overview of all DAP activities for a selected time period:

  • Total presentations
  • Total students reached
  • Total events
  • Total volunteer hours

Detailed Activity List

Line-by-line listing of each activity entered:

  • Dates and locations
  • Participant numbers
  • Volunteer information
  • Notes and descriptions

Comparison Reports

Compare current period to previous periods:

  • Year-over-year comparison
  • Month-by-month trends
  • Progress toward goals

Running a Basic Report

  1. Navigate to the Reports section in CLMS
  2. Select the report type you need
  3. Choose your date range (month, quarter, year)
  4. Select your lodge (usually pre-selected)
  5. Click "Generate" or "Run Report"
  6. View on screen or export/print

Choosing Date Ranges

  • Monthly: Good for regular check-ins and lodge reports
  • Quarterly: Common for state reporting requirements
  • Yearly: For annual summaries and award submissions
  • School year: Aligns with presentation schedules
  • Custom: For specific events like Red Ribbon Week

Exporting and Sharing Reports

Most CLMS reports can be:

  • Printed: For lodge meetings or files
  • Exported to PDF: For email attachments
  • Exported to Excel: For further analysis

Using Reports Effectively

For Lodge Meetings

  • Run a monthly summary to share at lodge meetings
  • Highlight key numbers: students reached, volunteer hours
  • Compare to last year or to goals

For District/State Reports

  • Generate required reports by deadlines
  • Verify data accuracy before submitting
  • Export in requested format

For Your Own Planning

  • Identify trends (busy months, common activities)
  • Spot gaps (schools not visited, events not logged)
  • Track progress toward annual goals
