Understanding Activity Categories
Categorizing Your DAP Activities
CLMS uses specific categories to organize DAP activities. Understanding these categories ensures your activities are recorded correctly and counted appropriately in reports.
Presentation Categories
School Presentations
Direct presentations to students in school settings:
- Classroom visits
- Grade-level assemblies
- School-wide assemblies
- After-school programs
Youth Group Presentations
Presentations to organized youth groups outside of schools:
- Scout troops
- 4-H clubs
- Boys & Girls Clubs
- Church youth groups
Event Categories
Red Ribbon Week
Activities specifically tied to Red Ribbon Week celebration:
- Ribbon distribution
- Themed events
- Pledge drives
- Special presentations during the week
Community Events
DAP presence at community gatherings:
- Health fairs
- Community festivals
- Back-to-school events
- National Night Out
Lodge Events
DAP activities hosted at your lodge:
- Family drug prevention nights
- Youth recognition events
- Open houses with DAP focus
Counting Guidelines
Students/Participants
- Count each person who participated in the activity
- For school presentations, use the actual class size or assembly attendance
- For events, estimate booth visitors or event participants
- Do not count the same person twice for the same activity
Volunteer Hours
- Count preparation time, travel, and the activity itself
- Count each volunteer's hours separately
- Be reasonable—a one-hour presentation does not equal eight hours of work
Materials
- Count items actually distributed, not items on hand
- Use reasonable estimates if exact counts are not available
When to Create Separate Entries
- Each school visited typically gets its own entry
- Multiple presentations on the same day at different schools are separate
- A multi-day event may be one entry or multiple, depending on your state's guidance
When in doubt, ask your District or State Chair how they prefer activities categorized.
