Module 3: Running Reports
Understanding Charitable Trust Reports
DAP and Charitable Trust Reporting
DAP is part of the Elks broader community service mission, and activities may contribute to Charitable Trust reporting. Understanding this connection helps you appreciate how your data is used beyond DAP-specific reports.
What is the Charitable Trust?
The Elks National Foundation Charitable Trust supports charitable activities across the organization. Community service hours and activities from all programs—including DAP—contribute to demonstrating the Elks' overall community impact.
How DAP Contributes
Your DAP activities may be included in:
- Community service hours: Volunteer time for DAP counts toward lodge totals
- Youth served: Students reached through DAP presentations
- Community impact: Events and outreach activities
Data Flow
When you enter activities in CLMS:
- Data is recorded under DAP
- Relevant data (hours, participants) aggregates to lodge totals
- Lodge totals roll up to state and national levels
- National reports include DAP as part of community service
Why This Matters
- Your DAP work contributes to lodge recognition for community service
- Accurate reporting helps the lodge meet Charitable Trust goals
- National Elks reports to Congress and the public include your work
Avoiding Double-Counting
Enter activities in CLMS once, under the appropriate category:
- A DAP presentation is entered under DAP, not separately as generic community service
- CLMS handles the aggregation automatically
- Do not enter the same activity in multiple places
Accessing Charitable Trust Reports
Your lodge Secretary or Exalted Ruler typically runs Charitable Trust reports. If you want to see how DAP contributes:
- Ask your Secretary to share community service summaries
- Look for breakdowns by program area
- Compare DAP contribution to total lodge service hours
