Module 3: Event Planning Excellence
Community Events and Health Fairs
Expanding Your Community Presence
Beyond school presentations, community events and health fairs offer opportunities to reach families and reinforce drug prevention messages. These events raise DAP's visibility and build your lodge's reputation as a community partner.
Types of Community Events
Health Fairs
Community health fairs bring together various organizations focused on wellness. DAP booths complement other health messaging and reach parents alongside children.
Community Festivals
Local fairs, parades, and festivals attract families and provide relaxed settings for outreach.
Back-to-School Events
School supply drives and back-to-school nights reach families at the start of the school year.
Youth Sports Events
Little League games, soccer tournaments, and other youth sports attract engaged families.
National Night Out
This August event promotes community-police partnerships and often welcomes DAP participation.
Setting Up an Effective Booth
- Visual appeal: Use banners, tablecloths, and displays in Elks and DAP colors
- Materials organized: Have handouts sorted by age group and topic
- Giveaways ready: Stickers, pencils, bracelets, and other items attract visitors
- Elroy presence: If you have an Elroy costume, events are perfect opportunities
- Engaged volunteers: Staff your booth with friendly, knowledgeable people
Engaging Event Visitors
Don't just stand behind your table waiting for people to approach:
- Greet passersby with a smile and brief introduction
- Ask if they have children and what ages
- Offer age-appropriate materials and information
- Have an activity for kids (coloring sheets, simple games)
- Collect contact information for follow-up if appropriate
- Mention your lodge and invite them to learn more about the Elks
Talking Points for Parents
Parents at community events often have questions. Be prepared to discuss:
- When to start talking to children about drugs
- Warning signs of drug use in adolescents
- Resources for families dealing with substance abuse
- How parents can reinforce DAP messages at home
- Local resources for treatment and support
Finding Events to Attend
- Check your city's community calendar
- Contact your parks and recreation department
- Ask schools about family events
- Connect with your local health department
- Network with other service organizations
- Watch local newspapers and social media for announcements
